Job Description

Responsibilities:

1. Club Management Admin

· Scheduling and logistics arrangements of weekly and monthly (after 15th of the month) meeting with Managers/HODs

· Minutes taking for meetings chaired by GM including AGM (Annual General Meeting) & EGM (Extraordinary General Meeting) meeting

· Track Managers’ leave and off days

· Attend to Members’ feedback

· Overseeing dispatch operation

· Overseeing record of incoming mails/confidential and ensure proper dissemination

· Overseeing Central Stationery Procurement operation

· Overseeing administration of membership matters

· To maintain a register of MC decisions

· Administer the Club’s Constitution

· Annual Registrar of Society Filing

· To maintain a register of Club registry for contracts, agreements and licenses etc.

2. Management Committee Support Administration

· Scheduling and logistics arrangements of Management Committee (MC) Meeting

· Compile meeting agenda and reports for MC Meeting from various managers

· Get report vetted by Management

· Send reminders to MC members of MC meeting

· Report to be circulated electronically to the MC members before the day of meeting

· Take Minutes of MC Meeting

3. Club Secretary to Management Committee (MC) & Sub-Committee (SC)

· Liaise between members of the MC and the Club

· Arrange, track and remind members of the Management Committee of Club events or special functions

· Booking of Golf flight for Chairman and VIPs

· Organize any meetings/functions as directed by Chairman

· Distribution and administration of complimentary passes for MC & SC

· Administer Conflict of Interest disclosure form for MC & SC for each MC term (2 Years)

· Update of particular of MC & SC

4. Any other duties as assigned by the General Manager.

Job Requirements

Requirements:

  • Minimum Degree/Diploma in Business Administration
  • Minimum 2 – 4 years of similar experience.
  • Must be independent, committed, efficient and out-spoken
  • Possess excellent written/verbal communication and interpersonal skills
  • Experience PA who required flexibility at work are encouraged to apply
  • Plus point with country club experience

Staff transport provided from Khatib and Sengkang areas
